Payroll FAQs

Answers to common questions about KNR Tax payroll services, pricing, setup, and switching providers.

If your business has employees, payroll is generally required to properly report wages, withhold applicable taxes, and meet employer payroll tax obligations. Business owners may also need payroll depending on how their business is structured and how they are compensated. KNR Tax can help you determine whether payroll is appropriate for your business.

Employees are generally paid through payroll with applicable taxes withheld and reported on Form W-2. Independent contractors are generally paid without payroll tax withholding and may receive Form 1099-NEC. Worker classification depends on the facts and circumstances of the working relationship—not simply what the business or worker chooses to call it.

Payroll can be scheduled weekly, biweekly, semi-monthly, or monthly depending on your business needs and applicable payroll requirements. Managed Payroll pricing includes up to two regular payroll runs per month. Weekly payroll and additional payroll runs may require additional fees.

Possibly. Whether you should pay yourself through payroll depends on your business structure and how you are compensated. For example, owners of corporations may have payroll requirements that do not apply to a sole proprietor. KNR Tax can help you determine the appropriate way to pay yourself.

Yes. Direct deposit is available with KNR Tax payroll services. Employees can have their net pay deposited directly into their bank accounts, eliminating the need to prepare and distribute paper checks.

Yes. Employees can access their payroll information through a secure employee portal, including pay information and other payroll documents available through the system.

New employees must be added to payroll before they can be paid. You’ll need to provide the required employee and payroll information, including applicable tax withholding and payment information. Managed Payroll clients can contact KNR Tax for assistance with the payroll setup process.

Yes. Payroll should be properly reflected in your accounting records so wages, payroll taxes, and related expenses are accurately reported. KNR Tax can coordinate payroll with your bookkeeping and accounting services to help keep your financial records organized and up to date.

Contact KNR Tax as soon as you discover the issue. We’ll review the payroll and determine the appropriate correction. Depending on the timing and type of correction, additional payroll processing or amended payroll tax filings may be required and could result in additional fees.

Managed Payroll clients should submit hours, pay changes, bonuses, new-hire information, and other payroll updates by the established payroll deadline. Submitting information on time helps ensure payroll can be reviewed and processed by the scheduled pay date. Late changes may require an additional payroll run or fee.

Yes. Payroll can include bonuses, commissions, reimbursements, and other types of compensation when applicable. Managed Payroll clients should provide this information by the established payroll deadline so it can be reviewed and included with the appropriate payroll.

Yes. Multi-state payroll may be available depending on where your employees work and your business’s payroll tax requirements. Additional state registrations, tax filings, and fees may apply. Contact KNR Tax before adding an employee in a new state so we can review the payroll requirements first.

Managed Payroll clients receive payroll reports showing employee wages, taxes, deductions, and payroll totals for each payroll processed. Additional payroll reports may also be available when needed for accounting, tax, insurance, or business purposes.

Yes. Managed Payroll includes preparation and filing of required year-end payroll tax forms, including employee W-2s and applicable employer filings. Keeping payroll information accurate throughout the year helps ensure year-end reporting is completed correctly and on time.

Send the notice to KNR Tax as soon as possible. Managed Payroll clients can have the notice reviewed to determine what action may be needed. Do not ignore payroll tax notices, even if you believe the taxes were filed or paid correctly.

Yes. Payroll schedules can be changed when appropriate for your business, subject to applicable wage-payment requirements. Contact KNR Tax before making the change so we can review the timing and make sure the transition is handled properly.

Notify KNR Tax as soon as possible when an employee resigns or is terminated. We’ll update the employee’s payroll status and help ensure any remaining wages or other payroll items are handled appropriately. Final-pay requirements can vary by state, so timely notice is important.

Yes. Payroll can accommodate applicable employee deductions such as retirement contributions, benefit deductions, and wage garnishments. Provide KNR Tax with the appropriate information or documentation so the deduction can be reviewed and set up correctly before payroll is processed.

Yes. Payroll can track applicable vacation, sick time, and other paid-time-off balances when those policies are set up in the payroll system. KNR Tax can help configure the payroll settings based on your company’s established PTO policies.

Yes. Independent contractors can be included in the payroll system for contractor payments and year-end 1099 reporting without treating them as W-2 employees. This can also help keep contractor payment records organized for accounting, reporting, and workers’ compensation purposes.

Yes. Payroll records can provide wage and payment information that may be needed for workers’ compensation reporting and audits, including employee payroll and contractor payments maintained in the system. KNR Tax can help you obtain the appropriate payroll reports when requested by your insurance provider or auditor.

You can switch to KNR Tax without starting your payroll records over. We’ll help coordinate the conversion of your payroll information, including employee data and year-to-date payroll history, so your records continue accurately with the new payroll system. Conversion services start at $500, depending on the complexity of your payroll.

Yes. If you’re setting up payroll for the first time, KNR Tax can assist with the payroll registration and setup process, including establishing the information needed for applicable federal and state payroll tax accounts. New Employer Payroll Setup is $250.

Your payroll service can grow with your business. Whether you hire more employees, change your payroll schedule, add another location, expand into another state, or need more payroll support, KNR Tax can help you adjust your payroll services as your needs change.

The right option depends on your business structure, number of workers, payroll frequency, and how much of the payroll process you want to manage yourself. KNR Tax can review your needs and help you choose between Self-Service Payroll and Managed Payroll—without paying for more service than your business needs.
